Application Guide 2010

This guide is only for overseas applicants who apply for undergraduate admission in April 2010. Applicants who live in Japan: contact the Office of International Programs.

 

Faculty / Department

Applicants from abroad who intend to seek the Bachelor of Arts degree can only apply to one undergraduate program among all departments.

Admission Schedule

The admission schedule for enrollment in April 2010 is as follows:

Notification of Results November 27, 2009

Eligibility

  1. Applicants must be female with non-Japanese nationality.
  2. Applicants must fulfill one of the following two conditions, (1) or (2).
    1. Applicants have completed (or are expected to have completed by March 31, 2010) 12 years of formal education outside of Japan or education that is recognized as being of an equivalent standard by the Japanese Ministry of Education.
    2. Applicants have completed 11 years of formal education outside of Japan and have completed (or are expected to have completed by March 31, 2010) supplementary education acknowledged by the Japanese Ministry of Education, and are at least 18 years old by March 31, 2010.
  3. Overseas applicants must take the EJU (Examination for Japanese University Admission for International Students) administered by the JASSO (Japan Student Services Organization) at designated examination sites throughout the world prior to application to the University. If the overseas applicants live in countries or regions where the EJU is not administered, the applicants must take the JLPT (Japanese Language Proficiency Test) Level 1, administered by the Japan Foundation prior to application to the University.
  4. Applicants are required to have good language ability to conduct university study in Japanese, equivalent to the score of 200 or above level in the EJU, or equivalent to level 2 or above (preferably level 1) in the JLPT.
 

Japanese Proficiency Requirement

All international applicants for whom Japanese is not their first language are required to demonstrate their competence in Japanese by submitting the official score of the EJU or the JLPT before admission.

  1. The EJU score
    Applicants who live in countries or regions where the EJU (Examination for Japanese University Admission for International Students) is administered must take the EJU (Exam subject: Japanese as a Foreign Language) before application to the University. The applicants may submit any highest exam scores in the past two years, which are the exam scores taken in November 2007, in June or November 2008, or in June 2009.
  2. The JLPT score
    Applicants who live in countries or regions where the EJU is not administered must submit the official score report of the JLPT (Japanese Language Proficiency Test) Level 1, administered by the Japan Foundation in December of either 2007 or 2008, or July 2009.

Application Procedures

  1. How to Apply
  2. To apply to Kyoto Notre Dame University, you must provide:

    1. A \35,000 non-refundable application fee made payable to Kyoto Notre Dame University by wire transfer. (For further details, refer to section 3, "Application Fee".
    2. Completed application documents listed in section 2, "Application Documents". The designated application documents, the Form A to J, are enclosed in the Application for Admission 2010 (the Japanese version) or are provided in the following web site: http://www.notredame.ac.jp/int/

    N.B.

    1. The application will be completed upon both payment of application fee and submission of all necessary application documents.
    2. Your admission will be canceled if any false or incorrect statements are discovered on the submitted documents.
  3. Application Documents
    1. Application Form [Form A]
      • Print legibly either in Japanese or in English.
      • Write the applicant's name in kanji or in alphabet as shown in her passport. Write the phonetic transcription of the applicant's name in katakana.
      • Attach one photograph (4cm x 3cm) taken within 3 months prior to the application.
      • Choose one undergraduate program you want to apply for (in the Department of Psychology, one area).
    2. Application Card [Form B]
      • Print legibly either in Japanese or in English.
      • Write the applicant's name in kanji or in alphabet as shown in her passport. Write the phonetic transcription of the applicant's name in katakana.
      • Attach one photograph (4cm x 3cm), the same photograph as the one attached on the Application Form [Form A].
      • Choose one undergraduate program you want to apply for (in the Department of Psychology, one area).
    3. Proposed Plans of Study [Form D]
      • Print legibly in Japanese in the applicant's own hand writing.
    4. Certificate of Graduation (or a letter of verification for anticipated graduation) from the last institution of secondary education (and of higher education, if applicable)
      • Note that only official certificates issued within one year and written either in Japanese or in English are acceptable. Attach official translations into Japanese or English, if the certificates are written in other languages.
      • A copy of the certificate is also acceptable, provided it is endorsed officially as a genuine certified copy.
      • If you submit the letter of verification for anticipated graduation at the time of application, also submit the Certificate of Graduation by no later than April 1, 2010.
    5. Transcript of the last institution of secondary education (and of higher education, if applicable)
      • Note that only official transcripts either in Japanese or in English are acceptable. Attach official translations into Japanese or English, if the transcripts are written in other languages.
      • Transcripts should show educational records of each academic year and cover the entire period attended.
    6. Letter of Recommendation [Form E]
      • Submit a Letter of Recommendation from a principal or an instructor of a high school, a college, or a Japanese language school.
      • Letter of Recommendation may be written in Japanese or English.
    7. Japanese Proficiency Evaluation [Form F]
      • Submit a Japanese Proficiency Evaluation from a principal or an instructor of a Japanese language school which the applicant has attended.
    8. Copy of EJU Examination Admission Card / copy of the official score report
      • Overseas applicants who have taken the EJU prior to application to the university, must submit a copy of their EJU examination admission card or a copy of the EJU official score report.
      • Only official test results of the EJU taken in November 2007, in June/November 2008, or in June 2009 are acceptable.
    9. JLPT Score Report
      • Overseas applicant residing in a country or region where the EJU is not administrated, who have taken the JLPT prior to application to the University, must submit the original score report of the JLPT (and also the certificate of proficiency, if applicable) .
      • Only official test results of the JLPT taken in December of 2007 or 2008, or July 2009 are acceptable.
      • The original score report will be returned by registered mail to the applicant after review.
      • Applicants who submit their EJU scores do not have to take the JLPT.
    10. Health Evaluation Form [Form G]
      • Each applicant is to take a physical examination by a physician in a hospital.
      • The evaluation must be issued within 3 months prior to the application period.
    11. Address Sticker [Form H]
      • Write full names and addresses on the four labels provided for return mail.
    12. Copy of passport pages
      • Submit a copy of the passport pages including the applicant's name, date of birth, expiration date, picture, and passport number.
    13. Wire Transfer Form [Form I]
      • After remitting a \35,000 application fee by telegraphic transfer, fill in the Wire Transfer Form (Form I) either in Japanese or in English, and submit it with a photocopy of the receipt issued by the remitting bank.
      • Please pay all handling charges, including the remitting bank's charge and the wire transfer charge in your country's currency, as well as the receiving bank's charge in Japan (\2,500), separately from the application fee, so that Kyoto Notre Dame University will receive the entire due amount of \35,000.
    14. Application Checklist [Form J]
      • By marking the application checklist, please ensure that all application documents are enclosed in the envelope.
    15. Official TOEFL Score Report (if applicable)
      • Applicants who apply for admission to the Department of English Language and Literature, who have taken the TOEFL prior to application to the University, must submit the official score report issued by Educational Testing Service (ETS).
      • Only the official test results of the TOEFL taken within 2 years prior to the application period will be valid. It means that any official test scores of the TOEFL taken after October 14, 2007, which will reach us by November 5, 2009, are acceptable.
      • The test results of the TOEFL-ITP (Institutional Testing Program) are not acceptable.
      • Applicants may submit the original of "Examinee's Score Record". The original "Examinee's Score Record" will be returned to the applicant by registered mail after review.
      • Applicants may also request "Official Score Report", which will be directly sent us by ETS. In order to request the test score to be delivered directly by "Official Score Report", designate the organization code number for Kyoto Notre Dame University as: 8464.

      N.B.
      Overseas applicants who will ask the University for a proxy application for "Certificate of Eligibility for a Status of Residence" must also submit the prescribed documents for immigration by the due date designated by the University. (see, "Immigration")

  4. Application Fee \35,000
    1. Please remit a non-refundable application fee by telegraphic transfer to the following bank account. In addition to the application fee, you will have to pay a separate amount to cover all handling charges (remitting bank charge, wire transfer charge, and paying bank charge of \2,500) at your bank separately from the amount of this billing. Remit the fee in Japanese Yen in the name of the applicant.

    3. Payment should meet the deadline as follows. As it may take time to complete the telegraphic transfer, please make the remittance early enough that the payment is received by the following deadline.

Notification of Results

  1. Notification of results will be sent out to each applicant by express mail on November 27, 2009. It will take 4-7 days to reach the applicant's home address.
  2. Documents for admission procedures will be sent together with a letter of acceptance.

 

Payment Procedures

Please remit the tuition and fees per semester (\452,500) by telegraphic transfer to the designated bank account by the payment deadline as follows. Relevant bank charges are to be born by the student.

    N.B.

    1. Matriculation Fee of \280,000 is exempted for all international students.
    2. A 30% Tuition Reduction is applied to international students who obtained the Certificate of Eligibility for "College Student" Status of Residence.
    3. Scholarships are available for international students. Students who wish to apply for a scholarship should submit the application form after their enrollment.

  5. Payment deadline

    Please make the tuition payment early enough before the following deadline, as it may take time to complete the telegraphic transfer.

    Applications will be canceled if you fail to complete payment procedures by the above deadline.

 

Cancellation and Refund Policy

  1. Tuition and fees will be refunded if the applicant fails to be issued the Certificate of Eligibility for a Status of Residence by the Japanese Immigration Bureau.
  2. Request for refund of tuition will only be accepted if a written request reaches us at the Office of International Programs by the cancellation deadline, which is March 31, 2010 in Japan time. The authorized cancellation and the full tuition refund will be made by submitting the prescribed request form to the Office of International Programs. After the above deadline, no fees are refundable.
  3. Overseas applicants who have already received the Certificate of Eligibility for a Status of Residence before the withdrawal must also return the certificate along with a written request for withdrawal from applying for a student visa. Please allow approximately one month for processing requests for refunds. If the applicant decides to withdraw from the University, please consult the Office of International Programs early enough before the above deadline.
